How We Use Google User Data
WorkFlowHQ integrates with Google/Microsoft Calendar to provide online scheduling features. When a staff member connects their Google/Microsoft Calendar account, our application requests access to the following minimum necessary scopes to implement specific production features:
Used to create events in the staff member's primary Google/Microsoft Calendar when a booking is made via the scheduling system, and to delete or update events when a booking is canceled or rescheduled. This is a write scope — we create, update, and delete events on the user's behalf.
Used to read the staff member's busy/available times via the Google/Microsoft Calendar freeBusy API endpoint. This prevents double-bookings by ensuring our scheduling system only offers time slots that are available. This is a read-only scope limited to busy/available status — we do not read event details, attendees, or any other calendar data.
Standard Google Sign-In identity scopes used to authenticate the staff member and retrieve their email address and account ID during the OAuth connection flow. These are required to associate the connected calendar account with the correct user.
Principle of Least Privilege: We request only the most granular, restricted scopes needed for each feature. We do not access calendar metadata, settings, ACLs, secondary calendars, or any data outside of events on the primary calendar and busy/available status.
